You feel under-worked when you watch tutorials or instructional videos online, as the information density is too low.<br />

The Solution: </h3>
Speed up or delay the speed of online video clips to watch them at your pace with "Video speed controller". The app is <a href="https://www.google.com/chrome/">Chrome</a> only and available for download the Chrome webstore.
With the default settings "D" increases speed and "S" decreases additional options are available (see <a href="https://chrome.google.com/webstore/detail/video-speed-controller/nffaoalbilbmmfgbnbgppjihopabppdk?hl=en">online
tutorial</a>).<br />
For YouTube the settings menu allows speeds up to 2x. The convenient shortcuts to increase or decrease speeds are ">" and "<", respectively.<br />
If you are really impatient and need to go above 2x speed, there is <a href="https://www.quora.com/Is-there-a-way-of-watching-YouTube-videos-at-higher-than-2x-speed" target="_blank">this hack</a> for you.<br />

If you belong to either, this would be a good time to take care of your valuables and avoid the frustration and misery that goes along with crashed hard drives, ransomware, or co-workers generating additional space on network drives.<br />
At least one of the above is likely going to affect you at some point, but until it really happens, there is usually little incentive to set up a backup system.<br />
At some places, IT does it for you, but if their system fails, it is you who is left with the mess. Although there is no absolute security, a practicable solution should involve at least 2 redundant copies of each file on site and a third copy at a different location (e.g. at home or at a friend's house vs. at work).<br />

The Problem:</h3>
As you accumulate gigabytes or terabytes of data, backups can take a long time - especially, if you do it manually.<br />
<br />
<h3>
The Solution: </h3>
Get a tool that copies only files that are not already backed up to an external hard drive. You can take this drive on the road or store it remotely. Among the free utilities, I like <a href="http://www.freefilesync.org/" target="_blank">freefilesync</a> best. It allows you to compare multiple drives or folders individually and synchronize or mirror content.
It also exists as a <a href="http://portableapps.com/apps/utilities/freefilesync-portable" target="_blank">portable app</a> (that means you don't need to install it but can run it off any drive by copying the folder with the software).<br />
<br />
<h3>
Alternatives:</h3>
Some professional backup utilities create a single “backup file” that contains all your individual files. The drawback is that you can have a hard time extracting a single file.
SyncToy is another free utility that does the same job, but it is not developed any longer and about 10x slower than FreeFileSync.
The update process can be <a href="http://www.freefilesync.org/manual.php?topic=schedule-a-batch-job" target="_blank">automated</a> by combining it with a <a href="https://msdn.microsoft.com/en-us/library/windows/desktop/aa383614(v=vs.85).aspx" target="_blank">task scheduler</a>.<br />

With the <a href="http://www.nature.com/news/open-access-the-true-cost-of-science-publishing-1.12676" target="_blank">rise of open access</a> journals and <a href="https://en.wikipedia.org/wiki/PLOS_ONE" target="_blank">PLOSone</a> pumping out almost 30.000 publications per year, the amount and diversity of reading material can be expected to increase even more. As your research focus and methods portfolio increases, you can have a field day with the ever increasing pile of literature reaching you through your inbox and search engines (or old-school via the library the letterbox/mailbox). This pile is only going to increase as your research focus and methods portfolio expand.<br />
<br />
<h3>
The Problem:</h3>
It is increasingly difficult to find and read all the literature that relates to your field - not to speak of nurturing your broad interest in areas of science outside your immediate research field.<br />
<br />
<h3>
The Solution: </h3>
Establish a workflow that can be easily adapted to have relevant literature automatically come to you and set up a "one-stop-shop" to access all your reading material for easy screening and moving the relevant publications to a "read later" collection.
I found that RSS feeds are a very efficient way to screen large amounts of content. If this sounds very technical and makes you want to leave this page - please be assured that getting familiar with the benefits of using RSS feeds will make all the difference. It will tremendously cut down the amount of time you have to spend to find relevant information and give you a clean interface with condensed information to select your reading material.<br />
<br />

<b>Find and generate <a href="http://www.whatisrss.com/" target="_blank">RSS feeds</a> relevant to your work: </b><br />
The sources are available through your favorite journals or search engines. If you like to follow individual journal you can find examples of RSS feeds here (<a href="http://www.nature.com/webfeeds/index.html" target="_blank">Nature Journals</a>, <a href="http://www.sciencemag.org/rss/" target="_blank">Science</a>, <a href="http://www.cell.com/cell/rss" target="_blank">Cell</a>). If you like to search pubmed, you can automate the process by setting up as many searches as you like to always <a href="https://www.nlm.nih.gov/bsd/disted/pubmedtutorial/040_060.html" target="_blank">deliver the updated results as RSS feeds</a>.<br />
<br />
<b>Use RSS readers to have the literature come to you: </b><br />
I use <a href="http://feedly.com/" target="_blank">feedly</a> as a newsreader to quickly go through all type of information, including publications, online newspapers, blogs, and other websites I follow online. In addition I keep the most relevant feeds related to my area of interest, colleagues, and methods in my <a href="https://support.office.com/en-za/article/Subscribe-to-an-RSS-Feed-4f21fd86-fbcd-44e2-9f78-2013816f5214" target="_blank">outlook RSS reader</a> as a reference.<br />
It is easy to scan abstracts and use the included link back to the source, which you can easily transfer to your literature database of choice (compare how we <a href="http://lab-o-mator.blogspot.de/2015/05/references-with-zotero.html" target="_blank">organize references in Zotero</a>).<br />
Importantly: Make an appointment with yourself to set aside time for reading (I like to do at least 30 minutes a day).<br />

There are email subscriptions available for the electronic table of contents (eTOC) of most Journals (e.g. <a href="http://www.pnas.org/cgi/alerts/etoc" target="_blank">PNAS</a>). If you like to search you can try <a href="http://www.quertle.com/" target="_blank">quertle</a> for search and content delivery. Other options are <a href="http://www.rna-seqblog.com/" target="_blank">blogs</a> / social media (<a href="https://caseybergman.wordpress.com/2014/02/24/keeping-up-with-the-scientific-literature-using-twitterbots-the-flypapers-experiment/" target="_blank">twitter</a>, <a href="https://plus.google.com/communities/101996609942925099701" target="_blank">google+</a> or <a href="https://www.linkedin.com/" target="_blank">linkedIn</a>). Embrace the windows key and the use of keyboard shortcuts. They work the same way across releases - independent of what the interface looks like (minor exception below).
If you need to start a program or find a system setting, just press the windows key and start typing. Press return if your item of choice appears or choose from a list with cursor and return vs. mouse-click. Also check out windows-S, windows-P, windows-cursors, windows-tab etc.
For the most part shortcuts in Microsoft products stay for good (ALT-F4 to close stuff or shut down the computer; F1 for help, CTRL-P for print). A notable exception is Windows-S for screen capture that now brings the search function (use windows-SHIFT-S for screen capture from windows 8 and 10). <br />

The reader assumes you show your best result of a series of experiments so make sure your gels are equally loaded, sections are intact and evenly exposed, tissues devoid of artifacts, etc. Before you get started preparing the figures, check the instructions to authors for your journal of choice. Frequently you need 300 dpi uncompressed for color or gray-scale figures and color figures need to be in the appropriate color space.<br />

The Solution:</h3>
Consider a few basic rules as outlined below.<br />

Content:</h4>
The figure has to convey the story. Try not to dilute information by taking additional information to the supplement.
Use logarithmic axes and discontinuous axis only if you carefully considered alternatives.
Label all axes.
Use size bars.<br />
<h4>
Layout:</h4>
Crop to the relevant area, properly rotated!
Font > 6 pt;
Line > 1 pt.
Reduce "non-information ink" (avoid excessive labeling, boxes, backgrounds, patterns).
Use compatible arrows and fonts.<br />
<h4>
Avoid:</h4>
Re-sampling figures with insufficient resolution (artificially increasing image size in pixels).<br />
Non-linear editing (changing <a href="https://en.wikipedia.org/wiki/Gamma_correction" target="_blank">gamma</a> or introducing <a href="https://en.wikipedia.org/wiki/Clipping" target="_blank">clipping</a>).<br />
The figure is only complete with a figure legend. Be sure to include enough information so that the reader will understand the figure without having to go back to the text. If you are unsure if your figure is suitable, pull some decent papers and check how others display their data.<br />

tablets, and desktops, text input has been improved considerably with keyboard
apps and auto-correction. To help enter repetitive text, you can use text
expansion - not only in Microsoft Word with <a href="https://support.office.com/en-us/article/AutoCorrect-spelling-and-insert-text-and-symbols-e7433b94-f3de-4532-9dc8-b29063a96e1f">AutoCorrect</a>,
but also with apps that work across applications. My favorite is <a href="http://www.phraseexpress.com/">PhraseExpress</a>. It saves you countless
keystrokes by replacing abbreviations with commonly used phrases you define. I
use it for closing lines (Thank you, best regards, ...), signatures, addresses,
default e-mail responses and the like. <br />

Have you ever wondered why you generate most data electronically but then print and glue your results into a paper lab notebook? </div>
<div class="MsoNormal">
We have implemented a free, compliant, flexible, and easy to
use electronic lab notebook based on Microsoft OneNote (also inclucded in office 2021 and works perfectly fine through Windows 11).</div>
<div class="MsoNormal">
This has facilitated collaboration, reduced time for documentation, and improved the quality of and ease of access to lab notes.</div>

The implementation was facilitated by support from our legal and IT department.</div>

The necessary infrastructure is a file server (preferably <a href="https://products.office.com/en-us/sharepoint/" target="_blank">SharePoint</a>) or network assisted storage with rights management, a backup solution, an electronic signature for each user, and software to export and digitally sign PDFs.<span style="mso-spacerun: yes;"> </span></div>

The setup is as follows: one common lab notebook with folders for content (background information, best practice, reports), collaboration, and templates and one lab notebook for each scientist and technician (full access for owner and group-leader, read access for everyone in the lab).</div>

The workflow includes: daily documentation and monthly
export to pdf by each lab-member (with digital signature by the lab-member, digital
signature by the group leader, timestamp from an independent timeserver).</div>

keep a backup paper lab-notebook for select experiments that document your prior art the old-fashioned way.</div>

Lab-notebooks go back at least to the middle ages, when Da Vinci (1452-1519) spent hours drawing human anatomy and his inventions. Isaac Newton (1643-1727) deliberately complicated his notes with riddles and awkward phrasing of his thoughts to hide the meaning from anyone that he deemed not intellectually worthy of their content.</div>

Today most scientists do not have as much fun documenting their work - in part because excessive amounts of data is acquired and processed, methods are more complex, and because users have to integrate diverse needs of institutions, funding agencies, and patent offices for "proper" documentation of their lab-results.</div>

Our transition to an electronic lab-notebook (ELN) was prompted by the need to facilitate documentation of mostly electronic data, reference to electronic documents, and the transition of scientists to other labs.<span style="mso-spacerun: yes;"> </span>We now use OneNote as a replacement for the paper lab notebook, where the structure (organized by year/month/week/day) facilitates transition from paper documentation for scientists and technicians, including those new to the lab. The ELN is used by all group members - scientists, technicians, trainees, and guests. </div>

We all have to document our work – following good scientific practice. This leads to an accumulation of paper that is hard to track and makes it difficult to retrieve information (your own and especially that from others). Adding to the problem is that the overwhelming majority of data acquired is electronic so that paper lab-notebooks do not integrate well with lab workflows. The perceived value of keeping a classical lab-notebook is low as it is a one-trick-pony: its only use is to document your progress in case a journal, funding agency, or legal entity needs access (usually in an unpleasant situation such as a patent dispute, potential fraud, or misappropriation of funds).</div>

As a result, most scientists do not enjoy documenting their work - especially with classical paper lab-notebooks.</div>

Preferably it should be compatible with Windows to use existing hardware: desktops in lab and office - and cheap portable devices for the lab that support access to shared folders with rights management (Windows Tablets).</div>

needed by the scientist, we were still in need of a workflow that would produce
a file that could be digitally signed and not be edited in post, which we
implemented with "Print to PDF"-function and electronic signatures
(followed by automated export to permanent storage). Your IT-support can probably help you with obtaining an electronic signature and to set up a script to move your signed PDF ELNs to a read-only area for permanent storage.<br />

Workflow:</h3>
To reduce redundancy and produce compatible output, we provide templates for each month (available on request).
The secretary produces templates with the generic layout (monthly cover page, week pages, and one page per day) for the upcoming 3 months.
For the experimentalist, we set up templates per method for cut and paste and calculators for pipetting schemes. Thus, it is easier to document before the experiment starts and just check-of or add information after the bench-work is complete.
If you like, you can have the group-leader, lab manager, or a senior postdoc oversee the monthly export and IT can facilitate proper filing and backup. At our institution we have each experimentalist and groupleader obtain an electronic signature and sign the ELN content of the previous month exported as a pdf. before the first Friday everybody prepared the signed pdf, the groupleader co-signs by the second Friday of the month and inserts a timestamp. At the end of the second Friday of the month, the IT runs a script that moves the signed pdf to a location where it cannot be altered of deleted with read-only acces by the members of the lab.<br />

Summary </h3>

As a scientist, chances are that you are using something like EndNote to manage references and create bibliographies. If you wonder how free alternatives compare and would like to facilitate collaboration within your lab, you might like to try <a href="http://www.zotero.org/">Zotero</a> - a powerful tool to collect, organize, cite, and share research sources.
We have moved from Reference Manager to Zotero more than 5 years ago. Our shared reference-database is synchronized between scientists and download and integration of pdf documents and supplementary files is centralized.
This approach reduced cost, improved document retrieval, reduced file-clutter (with everybody accessing the same properly named and linked documents), and facilitated coauthoring manuscripts and grants. We have extended the content of our database from papers and books to patents, media, and online content.<br />
The setup includes a joint account at <a href="https://www.zotero.org/">zotero.org</a> to synchronize references between users and a local WebDAV server to host the associated files on site. Although standalone versions are available, most lab-members prefer to use the Firefox plugin. From <a href="http://www.ncbi.nlm.nih.gov/pubmed/">PubMed</a> or other websites everybody adds their required references to the database in browser and after synchronization, the secretary adds the properly named PDF documents.
With the word processor plugin and the extensive style depository, adding the references to a text document is a breeze.<br />
If you like how easy it is to add references to your scientific writing using proper software but have trouble coauthoring or sharing passages that include references from grants, publications, animal protocols, and reports, Zotero is for you.<br />

Background </h3>
The speed at which science generates new insights is continuing to increase. In the middle ages, science was mostly a one-man show. DaVinci was not part of a larger scientific community, so that he did not refer much to other people's work and most of his notes stand by themselves. Newton realized he was <a href="http://en.wikipedia.org/wiki/Standing_on_the_shoulders_of_giants">standing
on the shoulders of giants</a> and references have steadily increased along with <a href="http://blogs.nature.com/news/2014/05/global-scientific-output-doubles-every-nine-years.html">scientific
output</a>. Luckily, we don't have to use typewriters to insert references and specialized software has greatly facilitated the process of adding and editing references.<br />

<h3>
The Problem: </h3>
Adding references as a one-man-show creates redundancy with pdfs saved multiple times across computers and hard drives within a lab. It also eliminates the possibility for multiple authors to work on references at the same time.
People that join a lab can have a hard time to adapt to a different software package. Sometimes they do not have access to commercial software on their personal computers or tablets and have a hard time co-authoring from remote.<br />

The Solution: </h3>
We were aiming for a solution with low cost of ownership that facilitates collaboration. For the software preferences were: open source, compatibility with existing infrastructure, large community, integrated file synchronization, note taking, full text search, and pdf standard compliance.
After feature comparison of several free and commercial alternatives to Reference Manager (which we were using at the time), we went with Zotero. One indication how good of an alternative it was to commercial software was that Thomson Reuters (the company that makes EndNote) sued George Mason University, home of Zotero. The suit <a href="http://arstechnica.com/information-technology/2009/06/thomson-reuters-suit-against-zotero-software-dismissed/">was
later dismissed</a>, but showed how threatening Zotero looked to the competition.
We like Zotero for its ease of use, collaborative features (note and comments), search function, and ability to integrate various types of content (including websites, patents, movies or books).<br />

Alternatives: </h3>
There are quite a few
<a href="http://alternativeto.net/software/zotero/">alternatives to Zotero</a>.
If you compare reference management software online, you might want to stay
away from the Endnote, Mendeley, and Zotero websites for obvious bias.
The Endnote camp would suggest that Zotero had "limited citation styles", which has been resolved since years
(endnote offers <a href="http://endnote.com/downloads/styles">>6000 citation
styles</a>, zotero offers <a href="https://www.zotero.org/styles">7,793 styles</a>
as of May 2015). The "limited free storage", does not apply if you run
your own WebDAV server (the 300 MB would cover a library of ~40.000
references). The free storage of Endnote (1GB) and Mendelay (2GB) would cover
pdf and supplement for ~1000 or 2000 references, respectively. Our attachments
on WebDAV amount to 7.5GB for 6000 references currently.

Workflow: </h3>
We have run a common Zotero-account for the lab that holds the reference library. Every scientist can add references from the browser with on click. The secretary downloads, renames, and adds PDFs and supplementary information as outlined in Table 1.
References are added from this common library using
the <a href="https://www.zotero.org/support/word_processor_plugin_installation">word
processor plugin</a>. At times where you don’t have access to the reference-library (e.g. working off your phone), or if you don't want to interrupt your flow, add a generic placeholder for references (we use "***REF" that can later be replaced).<br />

Implementation:</h3>
Our setup includes a joint account at zotero.org to synchronize references between users (~7000 references in a 50 MB database) and a local WebDAV server to host the associated files on site (currently 10,000 files in 6,000 folders at 7.5 GB). The 300 MB free online storage is generous, if you only need your library online and not the attachments. If
